These Terms and Conditions set out the basis on which Sama School of Kathak offers classes, the responsibilities of the school and its students, and the policies that apply to enrolment, fees, cancellations, and conduct. Please read them before enrolling. Enrolling in a class or making a payment constitutes acceptance of these terms.

1.  About the School

Sama School of Kathak is an independent dance school based in Staines-upon-Thames, Surrey. The school is led by Suruchi Saxena, who holds overall responsibility for teaching, examinations, and the welfare of all students.

 

Classes are offered to children from age five and to adults of all levels. The school teaches Kathak — a classical Indian dance form — and prepares students for graded examinations accredited by PRSSV Institute of Performing Arts and Heritage.

2.  Enrolment

Enrolment takes place by completing our enquiry form or contacting us directly. A place in a class is confirmed only once we have confirmed availability and, where applicable, received the required fee.

 

For students under the age of eighteen, enrolment must be completed by a parent or guardian, who accepts these Terms and Conditions on the student's behalf and takes responsibility for all obligations set out within them.

 

We reserve the right to decline enrolment at our discretion, for example where a class is full, where a student's level is not suited to the class, or where we have reason to believe participation would not be in the student's or the school's best interests.

3.  Fees and Payment

Class fees

Class fees are communicated at the time of enquiry and are reviewed periodically. Current fees are available on request. Fees are charged on a termly or monthly basis as agreed at enrolment.

Payment

Payment is due by the date specified at the time of enrolment or invoicing. We accept payment by bank transfer. Details are provided on request.

Late payment

Where fees remain unpaid after the due date, we reserve the right to suspend a student's place in class until the outstanding balance is cleared.

PRSSV examination fees

Examination fees are charged separately from class fees and are payable in advance of examination registration. These fees are passed directly to PRSSV and are non-refundable once registration has been submitted.

4.  Cancellations and Refunds

Cancellation by a student or parent

If you wish to cancel enrolment, please notify us in writing as soon as possible — by email or WhatsApp. The following applies:

 

  • Cancellations with more than four weeks' notice: fees already paid for any period beyond the cancellation date will be refunded.
  • Cancellations with less than four weeks' notice: the fee for the remainder of the current term or monthly period is non-refundable, unless the cancellation is due to illness, injury, or other exceptional circumstances, which will be considered on a case-by-case basis.
  • Trial classes: where a trial class is offered, no charge applies if you decide not to continue after the trial.

Cancellation by the school

In the rare event that we need to cancel a class or series of classes — for example due to illness or unforeseen circumstances — we will give as much notice as possible. Where classes are cancelled and cannot be rescheduled, a proportionate refund or credit will be applied. We are not liable for any costs you incur as a result of a class cancellation.

Missed classes

Fees are not reduced or refunded for classes missed by a student. We understand that illness and other commitments arise; where possible we will try to accommodate a catch-up, but this cannot be guaranteed.

5.  Conduct and Behaviour

Sama School of Kathak is a place of learning that aims to be safe, respectful, and welcoming for everyone. We ask all students — and parents or guardians attending with them — to treat the teacher, other students, and any venue with courtesy and consideration.

 

The following are not acceptable and may result in a student being asked to leave a class or, in serious cases, having their enrolment withdrawn without refund:

 

  • Disruptive behaviour that affects the learning of other students.
  • Disrespectful or abusive language or conduct towards the teacher, other students, or their families.
  • Wilful damage to a venue or to another person's belongings.
  • Any behaviour that the teacher considers to be unsafe or harmful.

 

We will always try to address concerns through discussion first. If enrolment is withdrawn due to conduct, we will explain the reasons and, where appropriate, offer a pro-rata refund for any remaining prepaid classes.

6.  Health, Safety, and Medical Information

The safety and wellbeing of our students is our first priority. We ask that you disclose any medical condition, disability, injury, or allergy that is relevant to a student's participation in classes. This information will be treated in confidence and used only to ensure the student's safety.

 

Students should not attend class if they are unwell, particularly if they have a contagious illness. Please notify us as soon as possible if a student will be absent.

 

Sama School of Kathak is not liable for injury or illness sustained during classes where reasonable care has been taken. Students participate in physical activity at their own risk. We encourage all students to inform us of any injury before class so that appropriate adjustments can be made.

7.  Children and Safeguarding

The welfare of children in our care is of the utmost importance. Suruchi Saxena holds a current DBS (Disclosure and Barring Service) check. We follow safeguarding best practice guidance for independent arts organisations working with children and young people.

 

Parents and guardians of child students are asked to:

 

  • Ensure their child arrives and is collected promptly, or makes clear arrangements for the child to travel independently if they are of appropriate age.
  • Inform us of any change in emergency contact details promptly.
  • Notify us of any change in medical information, custody arrangements, or other circumstances relevant to the child's welfare.

 

We will not release a child to any person other than the nominated parent, guardian, or approved contact without prior written authorisation.

 

ℹ  Note to Suruchi: if you do not yet hold a current DBS check, remove or amend the sentence above, or arrange one through the DBS Update Service or a relevant umbrella body. For a school teaching children this is strongly recommended and is what many parents will ask about.

8.  Photography and Video

We occasionally take photographs or video footage at classes, performances, and events for use on our website and Instagram account. We will always ask for explicit written consent from a parent or guardian before using any image or footage featuring a child.

 

You may withdraw consent for photography at any time by notifying us in writing. We will remove any material featuring your child from our public channels as promptly as reasonably possible.

 

Students and parents are asked not to photograph or film other students during classes or performances without the knowledge and consent of those students and their families.

9.  Examinations

Sama School of Kathak prepares students for PRSSV graded examinations. Examination entry is at the discretion of the teacher, who will advise when a student is ready to be entered. Entry to an examination is not guaranteed as part of class enrolment.

 

Examination fees are charged separately and are non-refundable once registration has been submitted to PRSSV. Results and certificates are issued by PRSSV directly. Sama School of Kathak has no control over examination results and cannot be held responsible for them.

10.  Intellectual Property

All teaching materials, choreography, compositions, and content created by Suruchi Saxena and Sama School of Kathak — including class notes, written materials, and choreographic sequences — are the intellectual property of Sama School of Kathak. They may not be reproduced, shared, or used outside of class without written permission.

 

Students and parents are asked not to record video of classes without prior permission from the teacher. Where permission is given, recordings are for personal practice only and must not be shared publicly.

11.  Limitation of Liability

Sama School of Kathak shall not be liable for any loss or damage to personal belongings brought to classes or events. We recommend that students do not bring valuable items to class.

 

To the extent permitted by law, our liability for any claim arising from these Terms and Conditions is limited to the fees paid by the relevant student in the three months preceding the claim.

 

Nothing in these Terms and Conditions limits our liability for death or personal injury caused by our negligence, fraud, or any other matter that cannot be excluded or limited by law.

12.  Changes to These Terms

We may update these Terms and Conditions from time to time. Where changes are significant, we will notify active students by email. Continued enrolment after notification constitutes acceptance of the updated terms.

13.  Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from them will be subject to the exclusive jurisdiction of the courts of England and Wales.
